Changing security access to a user

Facility Denials

Functional security is defined using the Facility Denials program.  This allows you to select which functions a user is allowed to use by attaching restrictions to the relevant security group.  It is possible to restrict users from accessing entire programs or they can be limited to using only certain functions in a program.

 For example, users could be prevented from posting data into closed accounting periods. This is done by denying access to the facility ‘Post to Closed Periods’ within the Data Entry Batch Validation program.

Follow the steps below to learn how to amend a users access.

Locate the security group against the user

Firstly, Locate the security group of the user(s). 

Note: anyone with this security group will have this change applied. 

To locate the security group for the user(s) access the following menus. 

Systems Admin>System Wide Controls>Users & Roles>Users 

Note: you can also select the combined user setup option.

Enter the User Id in the User field and click on Search, or just click on Search to build a full list of users. 

Use the View or Amend action against the user. 

The security group is listed on the Security/BEM.

Use the Exit icon to get back to the menu. 

Setting the denials

Facility Denials – this is the amendment of the security group to revoke access to a screen. 

Access the following menus. 

Systems Admin>System Wide Controls>Security>Security Groups  

In the selection window enter the Security Group of the User and click on Search. 

 

Select Display>Facility Denials

As an example enter G% (G represents Accounts Payable screens)  in the Program field, click on Search. 

Here are some of the common codes used.

B = Accounts Receivable

D = Purchasing

G = Accounts Payable

E = General Ledger

F = Fixed Assets

Double click on the Line to access the details screen for the program.  

To deny all of the screen select the Deny All option.  Or, select certain actions that a user cannot access.

Once complete select Save.

The user will need to log off and sign back into Financials for the change to take effect.
