The Process

User Security and Role Assignments in Financials

In the Financials system, each user is associated with a specific security and default company. Additionally, users can be assigned multiple roles, which is particularly useful when working with multiple company codes. To view the security and role assignments for a specific user, you would need to access their account individually.

However, if you're looking to generate a report that lists the security and role assignments for all users in the Financials system, you can use the following approach:

Please note that this report would require access to each user's account, which may require administrative privileges. Additionally, the report would need to be reviewed and updated regularly to ensure accuracy and compliance with organisational policies.

The following data will be included in the report:

  • User Id
  • Name
  • Default Company
  • Disabled
  • Last Sign on Date
  • All security groups attached to that user
  • Roles (if in use)

To run the report access the following menu:

Systems Admin>Systems Wide Controls>Users & Roles>User Security Report

Access the lines tab and enter the following parameters:

  • Produce a Report (Y/N) - this will produce a report available from the spool
  • Produce CSV File (Y/N) - this will email the report to the designated email address entered below in csv format
  • Include Advanced Users (Y/N) - Enter Y to include Advanced Users or N to not to include Advanced Users
  • Email address - enter the email address of the user to send the report to

Select the Submit button followed by Submit again.

Access the following menus to locate the spool report.

System Admin>Spool, select the Document: View button.

Locate the report from you email.
